A practical guide to FormOrbit Free and FormOrbit Pro—from your first form to payments, integrations, reusable designs, and secure support.

Getting started

Install FormOrbit Free first. FormOrbit Pro extends the same builder and requires the compatible Free version to remain active.

Install FormOrbit

In WordPress, open Plugins → Add New → Upload Plugin, upload the Free ZIP, and activate it.

Install FormOrbit Pro

Upload and activate the Pro ZIP, then open FormOrbit → License & Updates and activate your license.

Create a form

Open FormOrbit → Add New, choose a template or Blank Form, add fields, and save.

Update order: when an update requires both plugins, update FormOrbit Free before FormOrbit Pro.

Visual builder

The builder shows the real field structure while you work. Add fields from the field picker, drag them into order, and select any field to edit its settings.

Stages

Use stages for multi-step forms. Rename, reorder, add, or remove stages from the builder toolbar.

Field layout

Pro fields can share a row. Adjust width, start a new row, and preview desktop, tablet, and mobile layouts.

Undo and redo

Restore recent builder changes with the toolbar buttons or standard keyboard shortcuts.

Live preview

Use Preview beside Save Form to review the current form without leaving the editor.

Fields, groups, and repeaters

Standard fields cover contact details, choices, dates, uploads, ratings, sliders, polls, quizzes, consent, CAPTCHA, headings, HTML, and more. Pro adds calculations, agreements, signatures, products, prices, dividers, appointments, currency, NPS, groups, and repeaters.

Working with Field Group and Repeater

  1. Add a Field Group or Repeater from Pro Fields.
  2. Drag compatible fields from the main canvas into the container, or use Add Field.
  3. Click a child field directly inside the container to open its spacious popup editor, then adjust its label, type, choices, validation, and other settings.
  4. Drag a child’s handle to reorder it. Use Move to main form when the field should leave the container.

A Field Group stores one set of related fields. A Repeater lets visitors add multiple rows containing the same child-field structure.

Styles and responsive forms

Every FormOrbit form automatically adapts to its container and mobile screen. Pro adds premium presets, Google Fonts, field widths, colors, spacing, radius controls, saved themes, and safely scoped custom CSS.

Use the preview icon beside Style Preset to review the actual form. Dark presets such as Luxury, Dark, and Neon automatically coordinate labels, field text, backgrounds, borders, navigation, totals, and messages.

Use custom CSS only for refinements the built-in controls do not cover. FormOrbit scopes Pro CSS to the selected form.

Confirmations, visitor email, and PDF

Choose what happens after a successful submission:

  • Success message — show rich formatted content on the same page.
  • Redirect URL — send the visitor to a thank-you or next-step page.
  • Webhook — send submission data to an approved Pro endpoint.

Pro can also send a customized visitor notification, use smart tags, include submitted values, attach a generated PDF, and schedule email or SMS follow-ups. Configure WordPress mail delivery under FormOrbit → Email Delivery.

Import and migration

FormOrbit Free can import supported exports from WPForms, Gravity Forms, Fluent Forms, Contact Form 7, Formidable Forms, and Forminator. Review imported labels, choices, and validation before publishing.

Importing a public website form with Pro

  1. Open FormOrbit → Import Public Form.
  2. Enter the complete HTTPS URL of a public page containing the form.
  3. Start the import and review the newly created FormOrbit form in the visual builder.
  4. Configure notifications, integrations, confirmation behavior, and styling before embedding it.

Public import converts supported labels, text fields, text areas, selections, radio buttons, checkboxes, and required rules. It intentionally excludes passwords, scripts, hidden security tokens, and card fields. The source page is read only and is never modified.

Integrations

Connect provider credentials under FormOrbit Pro → Integrations. Then open a form’s Integrations tab to enable a connected provider and choose the destination list, audience, account, or workflow.

For email platforms, save a valid API connection first so FormOrbit can load the provider’s available audiences or lists.

Calendar actions are available when an Appointment field is present. Google Calendar, Outlook / Microsoft 365, and Apple / iCloud can create events directly; Calendly, Cal.com, and Acuity can continue the visitor into a hosted scheduling flow.

Products and payments

Add Product, Quantity, Product Option, Price, Shipping, Donation, and Order Total fields to build an order. FormOrbit calculates the selected total above the submit button. Configure Stripe, PayPal, Square, or bank transfer under Pro Integrations, then select the payment method in the form editor.

Hosted checkout keeps sensitive card entry on the payment provider’s secure page. Follow the displayed webhook instructions so completed payments can be matched to submissions.

Access, limits, and Save Progress

Use Access to require login, restrict allowed roles, schedule opening and closing dates, limit entries, or close a form manually. Role restrictions apply only when visitor login is required.

Enable Save & Continue in Confirmation for long Pro forms. Visitors can save an unfinished submission and return through a secure recovery link.

Publish and embed

Open the compact Embed panel in the form editor to copy either format:

Use the shortcode in posts, pages, widgets, or a Shortcode block. For a trusted theme or plugin template, copy the generated PHP example from the same panel.

Tools, imports, and exports

FormOrbit Tools imports supported forms from WPForms, Gravity Forms, Fluent Forms, Contact Form 7, Formidable Forms, and Forminator. Review imported option fields after conversion because source plugins can store complex choices differently.

Pro exports portable form definitions in JSON, CSV, or XML, including stages, fields, rules, styles, confirmations, access settings, and supported Pro configuration.

License, updates, and support

Manage activation from FormOrbit Pro → License & Updates. The key is masked after activation. FormOrbit validates licenses periodically and allows a limited outage grace period when the licensing service cannot be reached.

Licensed administrators can open Tools → Resources → Support & Feedback. The support form includes diagnostic consent, rate limiting, nonce protection, a one-time number challenge, and server-side validation.

Troubleshooting

Pro fields are unavailable

Confirm that both plugins are active, Free meets the required version, and the Pro license reports Active.

Email is not delivered

Open Email Delivery, verify SMTP details, send a test email, and confirm your hosting provider permits outbound mail.

Styles look cached

Save the form, clear page/cache/CDN optimization, then reload the public page. Avoid combining or delaying the builder’s admin scripts.

A payment is not marked complete

Verify live/sandbox mode, credentials, webhook URL, signing secret, and the events required by the provider.
